Entrytrakr is an Australian-based software-as-a-service (SaaS) platform focused on helping aged care providers manage visitor access, resident leave, and related compliance requirements.
We take privacy seriously and are committed to protecting the personal information we collect and ensuring transparency in how it’s handled - complying with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).This Privacy Policy explains what data we collect, how we use it, and your rights - with specific regard to our role in supporting aged care providers and their obligations under the Aged Care Act 1997 and Aged Care Quality and Safety Commission (ACQSC).2. We do not use your data for direct marketing or advertising purposes.5. Data Roles and Provider Responsibility
Entrytrakr acts as a data processor on behalf of aged care providers. Each provider is the data controller for their facility’s data, responsible for configuring privacy settings and meeting legal retention and access obligations.
6. Security and Hosting
All data is securely stored in high-availability cloud infrastructure located in Sydney, Australia. Designed to support aged care compliance expectations, our hosting environment offers:

End-to-end encryption (at rest and in transit)

We retain personal information:
Only as long as necessary for the purposes listed above
For up to 30 days after account closure, unless otherwise required by law or care provider request
Non-personal, anonymised usage data may be retained for analytics and system improvement
Aged care providers may request shorter or longer retention periods to support their specific policies.8. Resident Leave and Emergency Information
For providers using Entrytrakr’s Resident Leave Tracking and Emergency Assistance features:
Departure details, estimated return times, and mobility support indicators are stored securely
These are accessible only to authorised personnel and used strictly for safety and regulatory purposes
Emergency information is not used for marketing, profiling, or third-party sharing

1. Introduction
Thank you for choosing Entrytrakr Pty Ltd (“Entrytrakr”, “we”, “our”, or “us”). These Terms ("Terms") set out our mutual rights and responsibilities and govern your use of the Entrytrakr Visitor Compliance Platform. By subscribing, you agree to these Terms, which ensure clarity and consistency in how our services are delivered.
These Terms should be read together with your Entrytrakr Services Agreement (including any Schedule, Proposal, or online acceptance setting out client-specific details such as pricing, service scope, or term). Together, these documents form the complete agreement between you and Entrytrakr and the subscribing organisation ("you", "your", or "Client").1.1 Priority of Terms
If there is any inconsistency between these Terms and your Entrytrakr Services Agreement (including any Schedule or Proposal), the Services Agreement will prevail to the extent of the inconsistency.
1.2 Commencement of Services
Services will commence only once Entrytrakr has received confirmation of your Services Agreement or online acceptance and payment arrangements are in place.
2. Scope of Service
Entrytrakr provides a Visitor Compliance Platform purpose-built for aged care providers. Services include:
Visitor, staff, and contractor sign-in/out workflows (including QR code access via trakrQR™).
Optional trakrID™ identifiers for faster repeat sign-ins.
Resident leave management for short, overnight, or extended absences.
Contractor compliance profiles, including insurance expiry, induction validity, and credential/licence tracking.
Customisable entry screening questions, including conditional access controls (e.g. deny entry based on responses).
Audit-ready reporting and exportable logs to support compliance reviews.
Emergency assistance indicator and real-time evacuation lists to support incident response.
Badge/label printing and other third-party integrations.
Optional notifications and alerts for key compliance or safety events.
Data export and integration readiness for external systems.
Certain features are configurable. Where your organisation requires all staff to sign-in, you are responsible for enabling and enforcing those settings.3. Account Registration and Security
You are responsible for maintaining the confidentiality of your login credentials and all activities under your account. Notify us immediately if you suspect unauthorised access. Where trakrID or trakQR features are used, you are responsible for ensuring identifiers are accurate, current, and used in accordance with your organisation’s policies.
4. Use of the Platform
You agree to use the platform in compliance with all applicable laws, including obligations under the Aged Care Quality and Safety Commission (ACQSC) and the Privacy Act 1988 (Cth). You must not use the platform for any unlawful or unauthorised purposes.
Entrytrakr assists with compliance workflows but does not guarantee compliance with the Aged Care Act, ACQSC Standards, or other regulations. You remain solely responsible for meeting all legal and regulatory obligations, including enforcing internal policies such as staff sign-in requirements. Where customisable entry screening questions are enabled, you are responsible for ensuring the questions are suitable for your compliance obligations and for enforcing responses in line with your policies.5. Data Protection and Privacy
We maintain a strong commitment to data security and compliance. Our systems are hosted on secure infrastructure with redundancy, encryption, and access control. All client data is hosted in Australia by default. Where required to meet client obligations, Entrytrakr may host data in specific regions to satisfy compliance requirements. Entrytrakr is progressively aligning processes with International Organization for Standardization (ISO) 27001 standards for information security management, and certification may be pursued in future stages.
6. Hardware Use and Responsibilities
Entrytrakr is a software service and does not include hardware unless separately arranged. If you choose to purchase hardware (e.g. tablet devices, kiosks) through Entrytrakr, ownership transfers to you upon full payment.
Entrytrakr is not responsible for the maintenance, performance, or warranty of supplied hardware after delivery.
Clients must ensure that any self-supplied hardware is maintained in good working order and is compatible with Entrytrakr.
Entrytrakr accepts no responsibility for data loss, interruption, or damage caused by client-supplied hardware.
Hardware integration support is available on request for a separate fee.
Where Entrytrakr provides tablets or other hardware during onboarding, ownership and responsibility transfer to the client after onboarding. Ongoing maintenance and replacement remain the client’s responsibility; limited setup or swap-out support is available during onboarding only.
7. Payments and Fees
All pricing is clearly set out at the time of subscription or onboarding. Entrytrakr may adjust pricing with 30 days’ notice. Payments are due in accordance with the plan selected.
7.1 CPI Adjustment
Entrytrakr reserves the right to apply an annual Consumer Price Index (CPI) increase to subscription fees or charges. Any such adjustment will reflect movements in the All Groups CPI published by the Australian Bureau of Statistics and will be automatically applied to client invoices once in any given financial year.
7.2 Per-Site or Entry Pricing
Subscription fees may be charged per site and/or per entry point, as specified in your Services Agreement.
7.3 Refunds
All fees are non-refundable once a billing cycle has commenced.
8. Term and Renewal
Entrytrakr subscriptions may be offered on a month-to-month basis or under an agreed fixed initial term (e.g. 12 or 24 months), depending on the client’s agreement. If you provide notice of cancellation part-way through a billing cycle, your subscription will remain active until the end of that cycle. You will be charged for the full billing period, and no pro-rata refunds will be provided.
Annual (fixed-term) subscriptions are non-cancellable during the commitment period. At the end of the initial 12-month term, the subscription will automatically roll over to a month-to-month basis unless you accept an offer to renew for a further fixed term (e.g. 12 months at a discounted rate).
Month-to-month subscriptions may be cancelled with 30 days’ written notice via Entrytrakr’s official cancellation process.
9. Termination
Entrytrakr reserves the right to suspend or terminate access to the platform in the event of non-payment, misuse, or a material breach of these Terms. Upon termination, client access will be revoked, and platform data will be retained or deleted in line with our Privacy and Data Retention Policies.
If your subscription is terminated by Entrytrakr for non-payment, breach of these Terms, or any other valid reason, your subscription will remain payable until the end of the current billing cycle. No pro-rata refunds will be provided.All cancellations must be submitted through Entrytrakr’s official cancellation process. Termination is effective only once the required form is duly completed, received and acknowledged by Entrytrakr.10. AI-Powered Insights and Recommendations
Entrytrakr may provide predictive insights, alerts, or reports generated by artificial intelligence (AI). These outputs are provided for informational purposes only and do not constitute compliance, legal, or professional advice. You remain solely responsible for compliance with all applicable laws, regulations, and standards. Entrytrakr makes no guarantee that AI outputs will identify all compliance requirements or risks and will not be liable for any reliance placed on them.
AI-generated insights may also be used to support analysis of responses to customisable entry screening questions; these outputs remain informational only and do not replace your responsibility for compliance.11. Limitation of Liability
To the extent permitted by law, Entrytrakr is not liable for any indirect, incidental, or consequential damages, including compliance failures, business interruption, or loss of data. Our total liability is limited to the total amount paid by you in the preceding 12 months.
Entrytrakr does not warrant that the Services, including AI-powered insights, will identify all compliance requirements or prevent regulatory breaches. Compliance responsibility remains solely with you.Entrytrakr is not responsible for the content, accuracy, or suitability of customisable entry screening questions set by you or your authorised administrators.12. Changes to Terms
We may amend these Terms at any time by publishing the updated version on our website. Any changes will take effect immediately upon publication, unless stated otherwise. We will notify clients of material changes, but your continued use of Entrytrakr after an update will constitute acceptance of the updated Terms.
